1. What are cookies
- This Cookie Policy should be read together with our Privacy Policy, which explains more generally how ViaClara handles personal information. Where this Policy and the Privacy Policy's cookie summary (Section 9) differ in level of detail, this Policy is the authoritative source for cookie-specific information, including the full cookie inventory and exact retention periods.
- Cookies are small text files that are placed on your device (computer, tablet, or mobile phone) when you visit a website. They are widely used to make websites work efficiently, remember your preferences, and provide information to website operators about how their site is being used.
- In addition to cookies, ViaClara may also use similar tracking technologies including:
- Local Storage: data stored in your browser that persists between sessions, used to remember your preferences and session state.
- Session Storage: temporary data stored for the duration of a single browser session, cleared when you close the tab.
- Web Beacons/Pixel Tags: small transparent images embedded in pages or emails that allow us to know when a page or email has been viewed.
- Device Fingerprinting: ViaClara does not use device fingerprinting.
- References to “cookies” in this Policy include all of these technologies unless stated otherwise.
2. Who sets cookies on ViaClara
- Cookies on ViaClara are set by:
- First-Party Cookies: cookies set directly by MAME Creative Pty Ltd on the viaclara.com.au domain for the purposes described in this Policy.
- Third-Party Cookies: cookies set by our technology partners (listed in Section 4) whose services are embedded in ViaClara. These providers have their own privacy and cookie policies, which we link to where relevant.
3. Categories of cookies we use
- We use four categories of cookies, described below. The full cookie inventory is set out in Section 4.
- Strictly Necessary Cookies. These cookies are essential for ViaClara to function. They enable core features such as logging in, maintaining your session, and navigating securely between pages. Without these cookies, services you have asked for — such as accessing your account or sending a message — cannot be provided.
- Consent required: No. These cookies cannot be disabled. They are exempt from consent requirements under Australian privacy law and international best practice because they are strictly necessary for the service you have requested.
- Functional Cookies. These cookies remember choices you make and personalise your experience on ViaClara — for example, remembering your location preference or search filters.
- Consent required: Yes (unless the function is strictly necessary to deliver a feature you have explicitly requested). You can disable functional cookies via the Cookie Preference Centre, but doing so may affect how ViaClara works for you.
- Analytics Cookies. These cookies collect information about how visitors use ViaClara — for example, which pages are visited most often and how users navigate between pages. We use this information in aggregated, de-identified form to improve the platform. Analytics cookies do not identify you personally.
- Consent required: Yes. You can opt out via the Cookie Preference Centre or by installing a browser opt-out plugin provided by our analytics provider.
- AI Visibility Analytics Cookies (Phase 2 — Not Yet Active). When ViaClara's AI visibility analytics feature launches (Phase 2), practitioner-specific cookies will track how practitioner profiles appear in AI-assisted searches. These cookies will only be set for Practitioner Users on the Business Builder Plan and only after separate, express consent obtained at subscription.
- Consent required: Yes (separate consent obtained at plan subscription, in addition to cookie banner consent). This Policy will be updated when Phase 2 launches.
- Note on Advertising Cookies: ViaClara does not use advertising or targeting cookies. We do not serve behavioural advertising and do not share user data with advertising networks. This is consistent with our commitment not to use personal information (including health information) for advertising purposes.
4. Cookie inventory
- The following table lists the specific cookies currently in use on ViaClara. This inventory is reviewed and updated whenever new cookies are introduced.

5. Third-party cookie providers
- The following third-party providers may set cookies on ViaClara. Each provider is responsible for their own cookies under their own privacy policy. We recommend reviewing their policies if you have specific concerns.

6. How to manage your cookie preferences
- Cookie Preference Centre. You can manage your cookie preferences at any time via ViaClara's Cookie Preference Centre, accessible by:
- clicking the cookie icon in the footer of the ViaClara website; or
- visiting /cookie-preferences directly.
From the Cookie Preference Centre you can enable or disable functional and analytics cookies. Strictly necessary cookies cannot be disabled. Your preferences are saved for 12 months and can be updated at any time.
- Browser Settings. You can also manage cookies through your browser settings. Most browsers allow you to:
- view cookies that have been set;
- block all or certain types of cookies;
- delete existing cookies; and
- set preferences for future cookies.
Instructions for managing cookies in common browsers:

Safari (Mac/iOS) Preferences → Privacy → Manage Website Data. Microsoft Edge Settings → Cookies and site permissions → Cookies and site data. Please note that disabling cookies through your browser may affect the functionality of ViaClara and other websites you visit. Blocking strictly necessary cookies will prevent you from logging in to ViaClara.
- Opting Out of Analytics. In addition to the Cookie Preference Centre, you can opt out of analytics tracking by:
- installing the Google Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout; or
- enabling ‘Do Not Track’ in your browser settings (note: ViaClara does not respond to Do Not Track signals).
7. Cookie data retention
- Cookie data is handled in accordance with ViaClara's Data Retention Schedule. Specifically:
- Consent records for a registered, logged-in user (vc-consent, vc-consent-v, and the corresponding consent database record once linked to an account) are retained for the life of the user account + 3 years, then deleted.
- Consent records for an anonymous visitor who has not created an account are retained for 12 months from the date of consent, then deleted — a recommended default tied to the vc-consent cookie's own 12-month lifespan, still pending formal Privacy Officer sign-off and a corresponding Data Retention Schedule amendment. If the visitor later creates an account, the record is linked to it and picks up the account-based rule above from that point forward.
- Analytics data collected via cookies (Google Analytics) is retained for 14 months from the date of collection, then deleted or aggregated/de-identified. This period was set deliberately — GA4's native long-tier retention setting, rather than the 2-month default — to support: (i) analysis of the parent journey from initial engagement to first practitioner booking, which typically spans several months; (ii) tracking of practitioner onboarding and caseload-building activity over time; and (iii) cohort retention analysis to inform product development. This period is reviewed periodically and data is not retained beyond what is necessary for these purposes. If you withdraw analytics consent, ViaClara stops setting new analytics cookies and stops sending further analytics events; cookies already stored in your browser (_ga, _ga_D2FRD9D25W) are not automatically deleted and remain until they expire naturally (up to 2 years) or you clear them manually.
- Session cookies are deleted automatically when you close your browser.
- Persistent cookies expire at the duration stated in the cookie inventory (Section 4), or when you delete them manually.
8. Changes to this policy
- We may update this Cookie Policy from time to time to reflect changes in the cookies we use, our service providers, or applicable law. When we make material changes, we will:
- update the ‘Last updated’ date at the top of this Policy;
- re-show the cookie consent banner to all existing users; and
- notify logged-in users by email or in-platform notification.
- The current version of this Policy is always available at www.viaclara.com.au/cookie-policy.
